Executive Assistant
Purpose of Role:
We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to our Executive level (CEO, CFO or EVP). This role demands a proactive, organized individual with exceptional time management and interpersonal skills. You will be responsible for a wide range of duties, including diary management, travel coordination, and complex administrative tasks. A strong understanding of the business and the ability to thrive in a fast-paced environment are essential.
Critical Responsibilities:
* Provide high-level administrative support to the Executive, including diary management, travel arrangements, and meeting coordination.
* Handle complex tasks efficiently and independently, ensuring seamless operations.
* Build and maintain strong relationships with internal and external stakeholders.
* Ensure compliance with all health, safety, and environmental regulations within the office.
* Contribute to a positive and supportive team environment.
Areas of Accountability, Responsibility and Competence Level:
* Deliver exceptional administrative support to the Executive and leadership team.
* Manage intricate travel arrangements, including flights, accommodations, and visas.
* Prepare comprehensive meeting materials and ensure the Executive is well-prepared.
* Act as a dedicated point of contact for purchase requisitions and expense management.
* Maintain a strong understanding of the business and industry landscape.
* Collaborate with other Executive Assistants to provide seamless support coverage.
Critical Skills, Qualifications, Experience, etc.:
* Proven experience in a similar Executive Assistant role within the UK.
* Strong proficiency in Microsoft Office Suite, SharePoint, SAP, and Power BI.
* Excellent organizational, time management, and problem-solving skills.
* Exceptional communication and interpersonal abilities.
* Ability to handle confidential information with discretion.
* A proactive, positive, and team-oriented attitude.
* A strong work ethic and the ability to meet deadlines.
* Knowledge Energy HSEQ Policies and Business Management System (BMS) preferred.
