Technical Administrator
Location: Reading (60/40 hybrid working)
Role Overview:
We are seeking a Technical Administrator to join our client's dynamic Engineering team. The selected candidate will play a pivotal role in establishing and maintaining robust document control and management processes. Working collaboratively within the Engineering team, the Technical Administrator will ensure seamless systems of control are in place. This role will also involve managing the distribution of internal and external communications and fostering positive relationships with clients.
Key Responsibilities:
- Coordinate and ensure the proper organization and accessibility of all project documents.
- Categorize Engineering documents appropriately and validate their accuracy before filing.
- Collaborate with internal and external stakeholders to verify document format and numbering consistency.
- Monitor project filing and transmittal processes, establishing a comprehensive project filing system.
- Liaise with vendor and client document teams to maintain continuity throughout the project.
- Maintain project templates and ensure document quality in compliance with project standards.
- Assign document numbers according to the project document numbering system.
- Process and control engineering documents, drawings, and project deliverables following established guidelines.
- Expedite the review and approval of engineering deliverables and supplier documentation.
- Manage the flow of records among project stakeholders.
- Adhere to document control procedures and stay updated on document handling techniques.
- Respond promptly to internal and external requests for drawings and documents.
- Maintain effective and organized project and engineering records through archiving.
Skills and Competencies:
- Proven experience in a multi-project environment.
- Ability to collaborate within a team of technical professionals and adapt to changing project dynamics.
- Strong interpersonal skills for interactions with internal and external stakeholders.
- Proficiency in organizational skills and familiarity with filing systems such as SharePoint, SAP, MSP.
- Capability to efficiently manage multiple projects and meet tight deadlines.
- Skill in monitoring and evaluating systems, identifying opportunities for improvement.
- Excellent IT skills, meticulous attention to detail, proactivity, and flexibility.
Qualifications and Experiences:
- NC/HND in Business Administration/Engineering or equivalent (preferred).
- Experience working with contractor organizations.
- High degree of IT literacy.
