Job description

Our client is currently recruiting for the position of Office Administrator / Receptionist, based in Aberdeen on a job share basis working 20 hours per week.

Responsibilities:
* Ensure efficient internal and external communications e.g. receiving incoming calls/mail and dispatching outgoing calls/mails.
* Provides general administration support including, but not limited to, out-going correspondence, emergency response rotas, distribution of documents (internal and external) and ensuring distribution lists and address directories are kept up-to-date.
* Make/assist in travel arrangements, (building) access, meeting room reservations, discipline activities and lunch orders.
* Prepare and organise activities, events and meetings; prepare and distribute meeting minutes as directed.
* File, process and maintain relevant (department, project) information on company's systems.
* Focal point for facilities visits (e.g. utilities, air conditioning, IT and security) and escalates matters arising from facilities to the right department.
* Assists with key document manual and electronic filing and liaison with Document Control.
* Administrative tasks associated with new staff and temporary personnel.

Experience & Qualifications:
* Demonstrable experience in a similar position.
* Experience in MS Office packages and applications.
* Strong organisational skills and attention to detail.
* Adaptable, flexible and able to work both individual and as part of a team.
* Excellent written and verbal communication and interpersonal skills.
