Job description
We are seeking an experienced Project Administrator/Technical Assistant for our Oil & Gas Operator client based in the city centre. This will be an initial 12-month contract working on a 3/2 hybrid model.
Candidates should have a background in supporting a busy engineering department and be comfortable with using Excel to present data in graphical format, as well as have a working knowledge of document management and control and engineering terminology.
Responsibilities:
* Facilitating the Modification Review Panel - 2 weekly activity, this requires the receipt of Job Initiation forms, update of meeting agenda / attendees, issuing minutes, updating records after the meeting: assigning project numbers, liaising with Doc Control to set up and populate project folders, issuing forms for electronic signature.
* Preparation of data and graphs etc for: Monthly asset report, Integrity Management Team, Monthly Performance Reviews & T/OCMs - Numerous uses of similar information, e.g., anomaly charts, corrosion models output, engineering project statuses. Currently this comes from a variety of databases and spreadsheets and requires a degree of manipulation to make appropriate for the relevant partner groups / audience.
* Financial admin / PO management - Raise recurring PRs for review and approval, assist in developing cost forecasts with cost engineers.
* Drawing update facilitation - administer requests, maintain register, arrange relevant engineering checks in line with team guidance.
* Tag request facilitation - administer requests, maintain register, follow up for close out
* Facilitation of larger ad hoc meetings - finding appropriate time in calendars can be frustrating and time consuming.
* Preparation of TA timesheets for review and approval.
* Preparing new user request forms for IS.
* Risk Register(s) maintenance and co-ordination - Assisting teams in updating and ensuring consistency.
* Contract Performance Review support - meeting organisation, slide preparation, KPI gathering, issuing minutes and actions
* Pipeline Works Authorisation support - collating baseline information for applications
* Vessel Interface Support - Preparing rep competency assessment for review and approval, storing CVs, drafting work request forms for review
* Subsea Work pack / Rep Pack compilation - collating required drawings and documentation and issuing / printing
