Job description
We have a current opportunity for a Tendering Specialist on a permanent basis with a leading EPC company within the offshore industry. The position can be based in any of their UK offices (London, Aberdeen or Glasgow) or Paris office.
This role presents an ideal opportunity for someone to build on and develop their commercial and technical experience. You will be involved in all elements, from tender receipt through to submission and award. The role will also provide exposure to a variety of clients, internal functions and Senior Management.
What will you be doing?
Reporting to the Tendering Manager, the Tendering Specialist is responsible for the effective coordination and consolidation of all inputs from internal support functions to develop the tender proposal.
The Tendering Specialist shall support the Tender Lead / Proposal Manager through each phase of the tender, through to consolidation and submission of the final proposal.
The Tendering Specialist ensures the client requirements of the tender are adhered to and that tenders are performed in compliance with Company tendering guidelines and processes.
Responsibilities include (but are not limited to):
* Develop the tender estimate for the purpose of having a complete, accurate and optimized cost estimate, ensuring all inputs are approved and delivered in line with the BMS and tender schedule.
* Develop and distribute the ITT review matrix ensuring all clarifications are consolidated for return to client. Ensure that all subsequent tender bulletins, and clarification responses are received, distributed and reviewed including post submission clarifications.
* Develop the deliverables matrix and support with ensuring all deliverables are approved and delivered as necessary.
* Establish and maintain an effective and collaborative interface with internal and external stakeholders including regional tendering teams, tendering team and Management team.
* Drafting of internal tender authorisation papers, presentations and documents which may include presenting or supporting presentations to Management.
* Control the efficient performance of the tender through; strict adherence to the tender schedule, action tracking and close out and facilitation of gate review meetings.
* Support the Tender Lead to perform preliminary screening of risk and qualifications register and consolidate with input from the technical departments.
* Contribute to the maintenance of all tendered data records, to support the management analysis/forecasting and tender benchmarking.
* Manage the handover of any awarded project estimates to the Cost Controllers.
What experience would we like you to have?
* Previous experience of working in a Tendering environment is is desirable but other relevant commercial/technical experience is welcomed.
* Effective communication and time management skills with the ability to coordinate, track and motivate the tender team to meet deliverables within the time constraints.
* Thorough approach with analytical skills to consolidate, challenge, review and present confidently all elements of the tender costing.
* Committed to the highest levels of confidentiality and integrity with strict adherence to the Company tendering processes.
* Commercially aware and highly numerate, with and an ability to work with detail and accuracy.
* Enhanced planning and organisation skills, with the ability to identify and effectively prioritise workload to effectively meet multiple, often competing deadlines.
* Ability to develop and adapt to role requirements, demonstrating an interest in personal development.
* Committed to continuous improvement and identification of efficient work methods and processes.
* Willing and able to travel for occasional short assignments within the UK and globally.
