Job description


Our client is currently recruiting for the position of Contracts & Procurement Coordinator, based in Aberdeen.

Responsibilities:
* Responsible for the coordination of the company's Contracts Committee, arranging fortnightly meetings, confirming the agenda with C&P Manager, preparing, and distributing minutes of meeting and expediting action points to be closed with owner
* Responsible for the coordination of contract documents approvals, ensuring all approval requests are sent out in a timely manner to the correct approvers while highlighting any delays to C&P teams
* Responsible for the coordination, registration and storge of bank guarantees received from supplier, monitoring validity dates, informing contract holders of expiry dates and taking required actions.
* Responsible for the registration of the contract representative community in all required C&P tools and training, including co-ordination of appointment memos and follow up of training completion statistics.
* Responsible for the onboarding, transfer and leaver updates to C&P process and tools, ensuring access are up to date with the current organisation.
* Act as administrator for Agora system and live link contract library and data ensuring documents are. Conduct regular reviews to identify documents for archive and data to be updated within Agora.
* Act as focal point for the single source bid waiver approval process, ensuring bid waiver applications are monitored, approved, recorded, and reported in accordance with governance rules.
* Assist with preparation & delivery to C&P leaders of a monthly contract status report collating and checking data from various sources. Cross-check information and update procurement planning, compliance status and training requirements.
* Assist with the preparation of C&P performance indicator reporting, monitoring progress through the month, expediting open actions with responsible parties and participate in the compilation of results at the end of each month.
* Monitor use of C&P SharePoint site to ensuring all documents are store correctly, are easily accessible and in accordance with document retention schedules.
* Assists with the updating of the C&P WAT intranet page promote good communication of C&P department processes, news updates and provide links to useful tools and forms
* Provide efficient administrative support to C&P team as required including travel arrangements
* Responsible for the delivery of allocated adhoc C&P reports and administration requirements

Experience & Qualifications:
* Good communication skills with ability to constructively influence decisions or ways of working.
* Strong coordination and administration skills with ability recognize priorities, organise, and manage own workload to required deadlines
* Strong attention to detail and organisation skills with ability to recognize and simplify inefficient processes
* Strong knowledge and demonstratable experience of Microsoft Excel, Word, Power point and Power Bi applications
* Some experience and understanding in procure to pay processes and tools
* Some experience of SAP Materials Management and use in the procurement process
* Some experience in coaching users in use of specific tools or processes
* Demonstrated ability to collaborate cross-functionally with other departments.
